Harbinson Mulholland (HM) takes your privacy seriously. As a firm we are fully committed to safeguarding your information as required by legislation including the Data Protection Act 2018, the General Data Protection Regulation (GDPR) (EU) 2016/679 and the Privacy and Electronic Communications Regulations (PECR). This privacy notice explains what personal information we collect, how we use it and how to contact us if you have any concerns.

1.   What personal data do we collect?
Personal data may be held on our files (both physical and electronic) through our work as auditor, accountants, tax advisors or forensic accountants.  Personal data is also collected when registering and/or paying to attend one of our events. Data is collected via our website or by direct email to our Head of Marketing.

The types of personal data we may collect and hold about you includes:

• your name
• address
• email address
• phone number

Clients of the firm are asked to provide additional types of personal information as required by legislation governing accountancy practices like HM, for example Money Laundering Regulations.

Candidates applying to work for HM through an advertised recruitment process will provide additional information such as a CV or completed application form. We will not share this information with a third party without your consent. If you provide us with the name(s) of references as part of the recruitment process, we will only approach them and request additional information about you if we are making a formal offer of employment.

Cookies are collected from our website to inform Google Analytics. We do not share cookies with advertisers or other third parties.   

2.    How we use your information
The purpose with which we use your data, will determine the legal basis under which it is processed. There may be more than one legal ground for processing your data.  

In our capacity as auditor, accountants, tax advisors or forensic accountants we will use information you share with us to fulfil the requirements of any product/service agreements we have with you. If we act as your auditor, accountant, tax advisor or forensic accountant we may also, from time to time send you: 

• Notifications about a change to a product/service you receive from us
• Articles and content with relevant accountancy or tax related information; and/or
• Information about other products, services or events related to the service you already receive from us or which you have shown an interest in. 

We will not share your information with any third parties to allow them to send you product/service information.  

We will only share your information with third parties who may play a role in fulfilling the requirements of a service agreement we have with you or if related to a recruitment process. In these circumstances you will be informed of this beforehand. 

Marketing

As stated above, personal data is also collected when registering and/or paying to attend one of our events. Data is collected via our website or by direct email to our Head of Marketing.

The legal basis for processing the information of current and former HM clients is legitimate interest. As such we are able to market to such clients electronically without express consent. The correspondence we send to those on our marketing lists is limited to information that we genuinely feel may be of interest to you.

Where an individual has consented to receive marketing from us we have retained a record of when the consent was given and any stated preferences for how the individual wishes to be contacted by us.

At any time consent maybe withdrawn or preferences amended. All marketing correspondence issued by us contains information on how to opt-out of future marketing.

3.    Safeguarding your data
Maintaining the security, integrity and confidentiality of your data is paramount. To ensure we fulfil these obligations we:
• Restrict access to your information to persons performing tasks related to delivering a service to you.
• Have implemented security measures both technological and policy based to prevent unauthorised access or dissemination of your data.

Further more all HM staff have been briefed on the firm’s data protection obligations and are aware of the necessity to immediately report any confirmed or suspected breach of our data protection protocols.  

4.    Data Retention 
Once we have completed the task(s) for which we initially processed your data we will determine, using a risk based approach, how long we should retain it.

We keep our privacy statement under regular review and we will place any updates on this web page. This privacy statement was last updated in May 2018.
